GENERAL CONFIDENTIALITY POLICY

At ASAP Translation, we uphold the highest standards of confidentiality to protect our clients and ensure the integrity of our translation projects. This document outlines the essential guidelines for handling confidential information. Please read it thoroughly.

Purpose of Confidentiality

Maintaining confidentiality is critical to:

  • Ensure the integrity of our translation project management process.
  • Prevent unauthorized personnel from gaining an unfair advantage.
  • Avoid potential disputes and protests.
  • Protect the reputation and services of ASAP Translation.

Individuals involved in the Translation Project must exercise caution to prevent breaches of confidentiality both within and outside the workplace. Each person is personally responsible for safeguarding confidential information in all forms of communication, including verbal, written, and electronic formats such as email and communication applications. Unauthorized disclosure of sensitive information may result in civil or criminal penalties and/or disciplinary actions.

SIGNING CONFIDENTIALITY AGREEMENTS

All participants in the Translation Project are required to sign a confidentiality agreement prior to engaging in any discussions or planning activities. Those currently involved in Project Management activities who have not yet signed a confidentiality agreement should request one, sign it, and submit it to their immediate manager.

Conflict of Interest

Please review the confidentiality agreement carefully, as it includes a conflict of interest statement. Any individual who believes they may have a personal or financial interest that could conflict with their participation in any Translation and Management Project activities must disclose this information to ASAP Translation before signing the agreement.

Support Staff Requirements

In certain cases, support staff may be required to handle confidential information. These situations will be reviewed, and such staff may need to sign a confidentiality agreement. They will receive instructions on the proper handling of confidential information.

WHAT INFORMATION IS CONFIDENTIAL?

Confidential information includes, but is not limited to:

  • Any information related to Translation Project Management.
  • Documents, hard copies, and materials labelled “Confidential.”
  • Materials not authorised for release to any supplier.
  • Feedback, proposals, or evaluation materials related to specific Translation Management Projects.
  • Discussions and decisions related to the Translation Project.

CHOICE OF LAW

All Confidentiality Agreements, Terms, Conditions, and Statements shall be governed by the substantive law of Hong Kong SAR.
